Role purpose
You may be the right fit if you have observed how trust administration can become unnecessarily complex due to drafting gaps. If you are truly the right person, you seize the opportunity to prevent similar issues. We are establishing the Estate Planning Specialist role for someone with a background in trust administration. Your experience will influence how we design and implement estate plans from the outset. As the operational quarterback for planning matters, you will coordinate the process from the client’s initial preparation through document execution. By leveraging your trust administration know-how to spot potential issues early, communicate clearly with clients, and guide matters through the planning process, you will strengthen our systems, enhance the client experience, and enable the attorney to focus on legal strategy, delivering value for clients, our team, and the overall quality of every plan we produce.
Core responsibilities
- Serve as the primary client-facing coordinator throughout the estate planning process, ensuring effective communication between our team and clients.
- Review intake information to identify missing or incomplete details.
- Interact with clients professionally to clarify facts about assets, family structure, and planning goals.
- Lead internal case status reviews, identify stalled items, and coordinate team follow-up.
- Organize client information in the firm’s CRM to prepare attorneys for design meetings.
- Review drafted estate planning documents for accuracy and alignment with client information.
- Apply final refinements to documents prepared by a drafting paralegal.
- Leverage prior experience to identify practical trust administration issues, flag them for edits and attorney review.
- Propose and draft edits or custom language for attorney consideration.
- Lead estate plan signing meetings with clients: review documents and explain funding instructions to ensure clients can implement the plan successfully.
- Track billable time and maintain accurate case records within the firm’s systems.
- Collaborate with the team to refine and implement updates to internal processes.
Non negotiables
- Must be in the office Monday through Friday, 8:30 AM to 5:30 PM.
- Trust administration experience of 3 to 5+ years, including work with Special Needs Trusts or other discretionary trusts. (CFTA or CFP is a plus, but not required)
- Comfort drafting custom legal language for attorney review.
- Excellent communication and interpersonal skills.
- Outstanding attention to detail and accuracy.
- Comfort working with a variety of computer programs, databases, and systems, including Microsoft Office and CRMs.
- Reliability and the ability to handle confidential information discreetly.
- A proactive mindset and customer-service approach that supports a positive office environment.
- Ability to adapt to the evolving needs of a fast-growing business.
- Strong multitasking, organizational, and prioritization abilities.
- Comfort in a small, fast-moving firm where priorities shift and processes evolve.

- Draft documents accurately reflect the client’s situation and require minimal revisions.
- Clients depart signing meetings with a clear understanding of their documents and next steps to implement the plan.
- The firm can handle increasing matter volumes while maintaining high levels of client service.
