Position Summary

The Customer Service / Billing Specialist role focuses on delivering professional customer support while accurately generating and processing invoices for services rendered. This position ensures billing precision, handles account inquiries, and adheres to company policies and contractual terms. The ideal candidate blends solid customer service with meticulous billing experience.

Key Responsibilities

  • Prepare, review, and issue customer invoices in line with service agreements and pricing terms.
  • Act as the main point of contact for billing inquiries, delivering prompt and professional support by phone and email.
  • Investigate and resolve billing discrepancies, adjustments, credits, and disputes.
  • Confirm supporting documents such as service tickets, work orders, purchase orders, and contracts before invoicing.
  • Coordinate with operations, sales, and accounting to ensure accurate billing and timely issue resolution.
  • Support accounts receivable activities, including posting payments and pursuing outstanding balances.
  • Support month-end close processes, reporting, and audit documentation.
  • Identify opportunities to streamline billing processes and improve the customer experience.
  • Ensure adherence to company policies and applicable regulatory or contractual requirements.

Qualifications

  • High school diploma or GED is required; an associate degree in business or accounting is preferred.
  • Two or more years of experience in customer service, billing, accounts receivable, or related fields is preferred.
  • Proven problem-solving skills and the ability to handle customer concerns professionally.
  • Excellent attention to detail with strong organizational and time management abilities.
  • Experience with ERP or accounting systems is preferred.
  • Proficiency in Microsoft Office applications, including Outlook, Word, and Excel.
  • Strong written and verbal communication skills.
  • Ability to work both independently and as part of a team.
